Privacy Policy

ClarityTrail (“we”, “us”) provides a service that analyses emails you choose to forward to us and presents the results in a private dashboard. Because those emails often contain sensitive personal information, we treat your data conservatively: we collect only what the service needs, we keep it isolated to your account, and we never sell it.

1. Information we collect

  • Account information. Your name, email address and a securely hashed password. If you sign in with Google, we receive your name, email address and profile picture from Google instead of a password.
  • Email content you forward. The sender, subject, date and full body of any message you forward to your private ClarityTrail address, together with the analysis we generate from it.
  • Subscription information. Your plan, subscription status and renewal dates. Payments are handled by Paddle; we never see or store your card details.
  • Technical information. Standard server logs (IP address, browser type, timestamps) used to keep the service secure and working.

2. How we use your information

  • To create and secure your account and sign you in.
  • To analyse the emails you forward and display the results to you.
  • To manage your subscription, trial and billing.
  • To respond to support requests you send us.
  • To detect abuse, prevent fraud and keep the service reliable.

We do not use your email content to train artificial-intelligence models, and we do not use it for advertising or profiling.

3. Automated analysis

To produce your dashboard, the content of each forwarded email is sent to a third-party large-language-model provider for analysis and returned to us as structured results. This processing is automated. The output is an interpretation produced by software, not a legal, clinical or professional judgement, and it may be incomplete or wrong. You should always read the original message alongside any analysis.

4. Who we share information with

We share personal information only with the service providers we need to run ClarityTrail:

  • Hosting and database providers — to run the application and store your data.
  • Our AI processing provider — to analyse forwarded email content.
  • Paddle — our payment provider and merchant of record, for billing and tax.
  • Google — only if you choose to sign in with Google.

We may also disclose information where we are legally required to do so. We never sell your personal information, and we never share your email content with anyone other than the providers listed above.

5. Storage and security

Your data is stored in an isolated account record and is only accessible to you when signed in. Passwords are hashed, traffic is encrypted in transit, and access to production systems is restricted. No online service can promise perfect security, but we take reasonable technical and organisational measures to protect your information.

6. How long we keep it

We keep your account and analysed emails for as long as your account exists. You can delete individual emails at any time from your dashboard. If you delete your account, we delete your account data and forwarded email content, other than records we must retain for legal, tax or accounting purposes.

7. Your rights

Depending on where you live, you may have the right to access, correct, export or delete your personal information, to object to or restrict certain processing, and to complain to a data-protection authority. You can exercise most of these rights directly in the app, or by emailing us at [email protected].

8. Third parties in your emails

Emails you forward will usually contain information about other people. You are responsible for ensuring you are entitled to forward that content. We process it on your behalf, solely to provide the service to you.

9. Children

ClarityTrail is not intended for people under 18, and we do not knowingly create accounts for them.

10. Changes to this policy

We may update this policy from time to time. If we make a material change we will let you know in the app or by email before it takes effect.
